Job Details

Duties

  • Lead and manage Admin & Procurement Team
  • Act as a point of contact between the company and suppliers
  • Identify potential suppliers based on goods/services or projects required
  • Negotiate contracts, terms and deadlines with vendors and suppliers
  • Monitor and update relevant stakeholders regarding price fluctuations of goods and vendor pricing etc.,
  • Manage the flow of goods to ensure no stock shortage
  • Process purchase orders to acquire goods/services
  • Review the existing contracts and new contracts closely to ensure contract terms are favorable to the company
  • Attend meetings with Operations to get up to date information and needs;
  • Prepare and monitor procurement plan to ensure stock is held sufficiently at the warehouse through working closely with other department especially operations
  • Attend meetings with vendors and suppliers to obtain information and pricing etc.,
  • Plan, coordinate and manage all administrative procedures
  • Establish process, workflow and procedure related to admin and procurement works
  • Review existing process and workflow, procedure to obtain efficiency and reduce workload
  • Manage office space to ensure the cleanse, safety and pleasant working environment are achieved
  • Ensure company assets such as office building, fixture and furniture, equipment, vehicles etc., are well-secured and well-maintained
  • Ensure administrative spending is planned and arranged according to plan and policy
  • Establish Key Performance Indictors for subordinates and perform regular evaluation to ensure their performances are maintained
  • Promote, encourage, give feedback and reward the outperformers based on their performance
  • Liaise with internal and external stakeholders to ensure smooth operations of admin and procurement

Requirements

  • Bachelor in Business Admin, procurement or related fields
  • Extensive experience working in the admin/procurement department in related field (experience in Oil & Gas industry is a plus)
  • Ability to build, manage and foster team-oriented environment
  • Excellent planning, organizational, and time management skills
  • Experience leading and developing high performing teams
  • A history of leading and supporting successful projects and problem-solving abilities
  • English proficiency and excellent command on computer operations is essential
  • Excellent communication and interpersonal skills
